Trims — hang tags, woven labels, care labels, packaging bags — are cheap per unit, bulky and light, so choosing the wrong trade term often eats the whole margin in freight and duty differences. Incoterms 2020 lists eleven rules; only four matter for trims exports: EXW, FCA or FOB, CIF and DDP. The difference is not merely who pays the freight, but the exact moment risk passes from seller to buyer, who files the export declaration, who insures, and who handles import clearance and duty.
This guide covers four things: the cost and risk split across the four rules, the volumetric-weight trap on light cargo, the real cost of DDP and its three pitfalls, and a quotation format that avoids arguments.
1. Where Cost and Risk Divide Across the Four Rules
| Rule | Export clearance | Main freight | Insurance | Risk passes |
|---|---|---|---|---|
| EXW ex works | Buyer | Buyer | Buyer | Goods placed at the buyer's disposal at the factory |
| FCA free carrier | Seller | Buyer | Buyer | On handover to the carrier nominated by the buyer |
| FOB free on board | Seller | Buyer | Buyer | Once the goods are on board |
| CIF cost, insurance, freight | Seller | Seller | Seller, minimum cover | Still on board at the port of shipment |
| DDP delivered duty paid | Seller | Seller | Seller | On delivery at the named place of destination |
2. Trims Are Light Cargo — Freight Runs on Volumetric Weight
Hang tags, paper bags and poly bags have low density, so express and air freight bill on volumetric weight — length times width times height in centimetres divided by 5000 or 6000 — whichever is greater against actual gross weight. A carton of paper bags weighing 5 kg easily rates at 12 kg, more than doubling the freight.
- Before quoting, ask for the carton rules: maximum outer dimensions, units per carton, and whether compression packing is acceptable
- Woven and care labels can ship roll-packed or flat-pressed, typically cutting volume by 30 to 50 percent
- LCL sea freight bills by cubic metre and suits light cargo far better; express is for samples and top-ups under 100 kg
- State the rating basis — actual or volumetric — on the quotation, and whether destination charges are included, so nothing is disputed on arrival
3. The Real Cost of DDP and Its Three Pitfalls
European buyers increasingly ask for DDP — one delivered, duty-paid price to their door. It is genuinely convenient, but the cost has to be priced in advance, or an apparently profitable order closes at a loss.
- Tax numbers and importer of record: EU import needs the importer's EORI and VAT numbers. If a forwarder's duty-inclusive channel is used, the split of title and compliance liability must be written into the contract, not agreed verbally
- Duty rates and declaration: paper products and plastic bags carry different rates, some countries levy an extra environmental tax on plastic bags, and a wrong declaration of composition, use or material invites reassessment plus interest charged to the declarant
- Rejection and returns: under DDP the importer of record is the seller or its agent, so return freight, destruction and storage fall on the seller when goods are refused — budget for it in the quote
4. A Quotation Format That Avoids Arguments
- Write the rule with a place: FOB Shenzhen, Incoterms 2020. FOB alone is no term at all
- Fix the pricing unit — per 1,000 pieces, per 100 yards, per gross — matching the factory planning unit
- List included and excluded items separately: tooling, sampling, export clearance, packing, destination charges
- Give a validity period: paper, resin and cotton yarn all move, so state 15–30 days rather than re-pricing later
- Name the documents — invoice, packing list, bill of lading or air waybill, certificate of origin — with who issues them, how many copies and to whom
5. Common Questions
- The buyer asks for a landed price — what does that mean? Usually CIF, but if they mean delivered with duty paid, confirm DDP: the two are separated by inland freight and duty
- What term for a two-kilogram sample? Express DDP is simplest — small duty, best experience; EXW leaves clearance to the buyer and samples often stall at the border
- Under FOB the buyer nominates a forwarder — what does the seller still pay? Export clearance, inland haulage to the port and loading costs; THC and document fees depend on the agreement, so put them in the quote
- Can we quote delivered but duty unpaid? Yes — that is DAP: the seller pays freight to the door while clearance and duty stay with the buyer, which suits customers with their own importer of record
